Each email account on your Hordanso hosting has a storage limit (quota). When the quota is full, new incoming emails are bounced back to senders with an 'over quota' error. Here is how to monitor and manage mailbox storage.
How to Check Your Mailbox Usage
- Log in to cPanel.
- Click Email Accounts.
- In the account list, the USAGE column shows how much space each mailbox is using.
- A mailbox showing 95%+ is close to full and needs attention.
How to Free Up Space — Without Losing Emails
Option 1: Delete Large Emails in Webmail
- Log in to webmail (yourdomain.com/webmail).
- Sort your inbox by size (click the Size column header).
- Delete large emails with big attachments that you no longer need.
- Empty the Trash and Spam folders — they count toward your quota.
Option 2: Download and Archive Old Emails
Set up an email client like Outlook or Thunderbird with IMAP. Move old emails from the server to a local folder on your computer — this frees up server space while keeping your emails accessible.
Option 3: Increase the Mailbox Quota
- In cPanel, click Email Accounts.
- Click the Manage link next to the mailbox you want to increase.
- Under Storage Space, enter a higher value in MB or select Unlimited.
- Click Update Email Settings.
Note: Increasing a mailbox quota does not create extra disk space on your hosting account — it just allows the mailbox to use more of your existing hosting storage. If your overall hosting disk is full, you need to upgrade your plan.
Email Storage Allocation Per Plan
- Starter (annual): up to 999 email accounts, shared within your 6 GB SSD storage
- Pro (annual): unlimited email accounts, shared within your 40 GB SSD storage
- Developer (annual): unlimited email accounts with 4 GB per mailbox, shared within 80 GB SSD storage
Tip: Keep your email storage under 80% to ensure smooth delivery. Set a quarterly reminder to review and clean up your inbox.
